Head of Program Production (ICA)
The Institute for Contemporary Art at VCU is seeking a Head of Program Production to join our team. Opened in 2018, the Institute for Contemporary Art presents the art of our time and provides an open forum for dialogue and collaboration across the region and throughout the world. It is a non-collecting institution that showcases an ever-changing slate of exhibitions, performances, films, and special programs that translate our world into every medium. The Head of Program Production supports the planning and production of public programs, performances, events, and other activities organized by the Curatorial Department at the ICA. This position oversees administrative duties as related to the day-to-day running of programs, and coordinates logistics, communications, contracts and correspondences with artists and performers. Working in close collaboration with other ICA departments, the Head of Program Production manages and produces public programs, live performances, events, and projects of different scale at the ICA's premises, and occasionally offsite, and ensures programs are successfully delivered according to the ICA's standards, time schedule, and within budget. The Head of Program Production role requires flexibility in hours and working evening shifts. This position reports to the ICA's Managing Director.
Job Responsibilities
• Oversee program production from start to finish, coordinating the staff involved
• Refine and implement ICA's program delivery processes, ensuring timely and effective cross-departmental collaboration and efficient internal communication
• Oversee, with curatorial partners, program budgets; track expenses; and re-forecast expense projections
• Establish program-specific timelines and monitor progress, ensuring abidance to museum goals and best practices
• Initiate, organize, and lead program stakeholder meetings; develop agendas, record meeting notes, and distribute meeting results
• Independently work to identify challenges within program execution and provide creative options to convey agreed-upon solutions
• Assist negotiations with external parties including, but not limited to: artist and performer contracts
• Create, update, and maintain the Program Schedule
• Execute specific planning duties leading up to and on day of events and staffing events
• Perform other duties specific to cultural projects
• Serve as the chair of the ICA's Programs Cross-team working group, and as a standing member of the ICA's Project Management Group
• Serve as the on-site resource during programs and public events that originate with the Curatorial department
Minimum Qualifications
• Excellent project management, organization and planning skills; and experience in managing and producing complex cultural projects and/or public programs
• Strong business planning skills, including financial management, with proven track record of managing budgets
• Strong analytical and practical skills for understanding all process involved in the coordination and management of programs, performances and live events
• Strong organizational and follow-through skills
• Able to work on projects of varying complexity and scale
• Resourceful and detail-oriented planner
• Proven experience problem solving
• Must be energetic and a strong collaborator with an ability to effectively manage internal and external relationships at all levels
• Outstanding communicator with solid verbal, written and presentation skills
• Interpersonal skills, being able to communicate well with a broad range of people
• Ability to prioritize and coordinate multiple projects in a timely manner
• Must be flexible and willing to work nights and weekends during key events
• Commitment to working in and fostering a diverse and inclusive workplace
Preferred Qualifications
• Knowledge, understanding and appreciation of the cultural field surrounding the ICA
• Interest in art and culture
• Strong interest in collaborating with curators on conceiving events and experiences in line with the ICAs strategic vision
• Ability to imagine and create new approaches to streamlining production processes toward achieving institutional objectives
• Ability to provide strategic vision for planning
Salary Range: $60,000-$75,000
