Summary

VCU's Facilities Management Department is seeking to hire a Business Operations Specialist for Facilities Operations.

The Business Operations Specialist (BOS) will participate in and lead, from the operator's perspective, the development, implementation, and maintenance of the Facilities Operations' (FO) computerized maintenance management system (CMMS).

Duties include (but are not limited to):
  • Lead needs analysis for CMMS updates as well as testing and implementation processes for identified updates
  • Lead training and Standard Operating Procedure development and review for the CMMS
  • Ensure the necessary data is collected, analyzed, and formatted for the maintenance practices of the Facilities Operations department to provide management with decision support information
  • Perform regular reviews and investigations into CMMS performance to provide management with recommendations for process improvement of CMMS functions to include, but not limited to: logistics, workload management, preventative maintenance, inventory management, etc.
  • Develop and provide reports to be used at various levels of leadership based on operational needs as well as identified reporting opportunities by the BOS for CMMS related data
  • Oversee and maintain the CMMS help and survey communication accounts to include timely response to inquiries as well as regular reports to leadership on these data sets
  • Oversee and maintain customer service and inquiry email accounts associated with the FO CMMS programs providing response and resolution to inquiries
Work Management
  • Develop and maintain policies and and procedures within Facilities Operations (FO) to ensure goals and objectives are met for CMMS
  • Facilitate communication between parties with interest or need of CMMS data
  • Serve as the representative for FO's requirements/priorities to technical communities ensuring interests are represented in short and long-term University plans
Asset Tracking
  • Work with the Asset Management team to develop processes and procedures for maintaining current and accurate asset information within the CMMS to include: account information, location data, associated materials, and PM schedules
  • Coordinate with Materials Management to ensure that complete asset material inventory information is maintained within the CMMS
Customer Service/Teamwork/Training
  • Serve as the primary point of contact for customer inquiries relating to all aspects of the University's CMMS program
  • Serve as the lead/coordinator for testing, developing, training, and communication on CMMS updates from the vendor, providing recommendations and justifications for implementation
Additional Duties as Assigned
  • Special projects as needed and assigned
  • Perform management availability as needed on interim and emergency basis
  • Support the department as a designated worker during emergencies and inclement weather and on-call as needed or directed

Minimum Hiring Standards
  • Valid Driver's License required
  • High School diploma, GED, or equivalent
  • Demonstrated experience in training others
  • Demonstrated experience using computerized maintenance management system (CMMS)
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU
Preferred Hiring Standards
  • Experience working in a higher education and research environment preferred
  • Bachelor's degree in Business Administration, Computer Science, Information Technology, Finance, Accounting, Project Management, or related field (equivalent work experience may be considered in lieu of degree)
  • Demonstrated experience working with Asset Works CMMS programs
