Administrative Assistant (Part-Time) - School of Art, Design, and Art History
The School of Art, Design, and Art History is accepting applications for a part-time Administrative Assistant to oversee day-to-day office operations in the administrative office of the academic unit.
Duties and Responsibilities:
-Serve as the school’s receptionist.
-Respond to all incoming calls and welcome visitors.
-Monitor the school’s email account.
-Hire all student employees and art models.
-Manage time entry for payroll.
-Coordinate list of available art models and work in conjunction with faculty and a grad assistant to supervise art models.
-Train and supervise all student employees working in the administrative office.
-Maintain the school’s office supply closet and order office supplies as needed.
-Submit work orders for basic repairs and maintenance needs.
-Support the administrative needs of the school’s director, faculty, staff, and students.
-Take minutes at faculty/staff meetings.
-Maintain school mailing lists, phone lists, teaching/office hour schedules, and the School’s Faculty/Staff Handbook.
-Use the Student Administration System to process all overrides for class enrollment and run queries as needed.
-Assist with meeting preparation.
-Manage room reservations for meetings/events for the school.
-Manage the locker assignment process for students each semester.
-Manage the school’s SharePoint site.
-Manage the annual Fixed Assets inventory process.
-Monitor hallway display spaces for student artwork.
Qualifications:
Required experience/skills include working in an office or academic unit; knowledge of Microsoft Office; excellent organizational and interpersonal skills, motivated self-starter; highly organized; and ability to multi-task in a fast-paced office environment. Preferred knowledge/skills include eVA and other JMU data/computing systems; appreciation for visual art and design.
