Administrative Assistant - Vice Provost for Faculty,
Curriculum and Policy

The office of the Vice Provost for Faculty, Curriculum and Policy (VPFCP) is accepting applications for a dynamic and innovative individual for an advanced level Administrative Assistant (Specialist 3) position. Primary responsibilities provide executive administrative support for the Vice Provost, including budget and management oversite for the VPFCP office. Secondary responsibilities provide support for the Policy Specialist and the Associate Vice Provost for Evaluation. The ideal candidate will be highly organized, an excellent communicator, a proactive manager/coordinator, and is able to demonstrate proficiency in financial administration.

Duties and Responsibilities
Executive support for the Vice Provost:
• Managing calendar and coordinating meetings
• Preparing correspondence and communications
• Precision and confidentiality in all interactions with faculty, senior leadership, General Counsel, students, alumni and the public
• Occasional help with special projects

Administrative support for VPFCP functions of policy management, program evaluation, and faculty governance/evaluation development:
• Coordinate scheduling and correspondence for the Associate Vice Provost for Evaluation and the Policy Specialist
• Provide confidential support for sensitive conversations and documentation related to policy development and application, and program/faculty evaluation
• Occasional help with special projects

Office operations manager:
• Maintain a high level of administrative organization and efficiency
• Coordinate all scheduled meetings hosted by the office including Academic Unit Heads (AUHs), Associate Deans Team (A-Team), Curriculum and Instruction (C&I), policy and strategy meetings
• Ordering and purchasing supplies
• Event planning

Fiscal support and budget management:
• VPFCP budget management
• Budget and credit card reconciliations
• Management of electronic personnel action requests (ePARs), travel, and equipment trust fund (ETF) purchases

Qualifications
Competitive candidates will have:
• High level of professionalism as appropriate to an executive office in Academic Affairs
• Sound judgment in prioritizing multiple responsibilities and meeting deadlines
• Proven ability to function independently and proactively in a collaborative, complex and constantly changing environment
• Excellent organizational, quantitative, written and verbal skills
• Fluency in Microsoft office suite with an emphasis on Excel

Preferred qualifications:
• Peoplesoft Student Administration system, eVA purchasing system, Chrome River
• Website management and social media skills (e.g. Cascade, WordPress, Facebook, Twitter, Instagram)
• Bachelor's Degree
• Familiarity with postsecondary institutions
